Members are advised that Council intends to convene a Special General Meeting (SGM) of the Association to allow members to reconsider the motion passed at the 2025 General Meeting relating to the requirement that the Association secure a venue capable of accommodating members indoors for future AGMs.
The motion passed at the 2025 General Meeting was:
That Council does all things necessary to ensure that the next AGM is held in an indoor venue big enough to accommodate.
Moved: Ian Coombes Seconded: David Hammond (to be ratified at the 2026 GM)
With membership currently exceeding 5,500 members, compliance with this requirement would necessitate securing a venue capable of accommodating an audience of that size.
Historical attendance at Annual General Meetings has typically been between 150 and 220 members, and venues capable of accommodating 5,500 people are limited within the ACT and involve substantial venue hire costs that may exceed tens of thousands of dollars for a single meeting.
Council considers that the financial and logistical implications of implementing this motion warrant further consideration by members.
Notice of Special General Meeting
In accordance with the requirements of the Associations Incorporation Act 1991 (ACT) and the Constitution of SSAA ACT Inc., notice is hereby given of a Special General Meeting to be held as follows:
- Date: Sunday, 31 May 2026
- Time: commencing at 9:00am
- Location: Main Club House*, SSAA ACT Inc. Range Complex, 50 Hector McIntosh Grove, Majura
*Pending number of attendees the meeting may be moved to the Main Range
Authority
In accordance with Clause 5(b)(ii) of the SSAA ACT Inc Constitution, Council has the authority to convene a Special General Meeting when it considers that a matter should be referred to the membership for determination.
Proposed Motion
Members will be asked to consider and vote on the following motion:
“That the motion passed at the 2025 General Meeting requiring the Association ensure that the next AGM is held in an indoor venue big enough to accommodate be rescinded”
If the motion is carried, Council will retain the ability to select venues for General Meetings that are reasonably capable of accommodating member attendance and ensuring responsible management of Association funds.
Voting and Attendance
- All SSAA ACT Inc. financial members are entitled to attend and vote.
- Members are required to register their attendance to receive a ballot pack. Registration will close when the meeting is declared open.
- Proxy voting is not permitted.
- Quorum requirements as set out in the Constitution will apply.
